COLUMNS, ROWS AND CELLS

 After completing this lesson, you should know:

An Excel worksheet is organised in columns, rows and cells:


 



 

 

 

 

 

 

 

 

 

 

CHANGE THE WIDTH OF A COLUMN

When the column is not wide enough to fit in the contents, Excel does the following:

  • Text: Excel will show only the part of the text that can fit in. The rest will not display.
  • Values and Dates: Excel will show ### in the cell to indicate that the full value or date cannot fit into the column.


 

 

 

 

 

 

 

 

 Popular methods to change the column width:

  • Drag the column border: Point to the border between two column headings. The mouse pointer will change into a two-headed arrow. Drag to resize the column manually.
  • Double-click the column border: This automatically resizes the column to fit the widest data entry

 

 

 

 


INSERT AND DELETE ROWS AND COLUMNS

Quick methods to insert a row above row 4:

  • Right-click on the row name (row 4 in this example) and choose Insert.
  • Click on row 4 → Ctrl + (if you don’t have a number pad on the right-hand side of your keyboard, use Ctrl Shift +)

 

 

 

 

 

 

 

 

Quick methods to delete a row:

  • Right-click on the row name (row 4 in this example) and choose Delete.
  • Click on row 4 → Ctrl - (minus)

 


To insert or delete a column, the process is the same. If you want to insert a column before column C, you should click on column C.

 

HIDE AND UNHIDE ROWS AND COLUMNS

The hide and unhide options for rows and columns are also available on the right-click menu.

 

 

 

 


There are many methods to unhide a column or columns. Let us look at these two methods:

  • Drag the column heading border: When a column (or row) is hidden, the border of the column heading shows a double line. Move the line on the right-hand side to unhide the column.



  •  Select the column before and the column after the hidden column(s) → right click → choose Unhide from the menu

 

MOVE ROWS AND COLUMNS

We need to move a column (Students) with its contents to another location (between Children and Senior Citizens).

  • Select the column
  • Hold Shift and drag the column border (not the column heading border) → drop the column where you need it

 


 



 

 

 

 

KEEP THE TOP ROW VISIBLE

Use Freeze Panes to keep the top row visible while you scroll through the rest of the sheet.

Method:

  • Click anywhere on the sheet
  • View ribbon tab → Window group → Freeze Panes → Freeze Top Row




 

 

 

 

 To unfreeze the top row:

  • Click anywhere on the sheet
  • View ribbon tab → Window group → Freeze Panes → Unfreeze Panes
