FIND AND REPLACE

 

After completing this lesson, you should know:

  • How to find data entries in a worksheet
  • How to replace data

 

To use Find and Replace:

  • Home tab → Editing group → Find & Select
  • Shortcut for Find: Ctrl F
  • Shortcut for Replace: Ctrl H

 

FIND

Example: You need to know how many times the word Sales appears in the Department column.

  • Select the data in the column (to make sure you don’t find Sales anywhere else on the sheet)
  • Open the Find dialogue box (Ctrl F)
  • Type Sales next to Find what
  • Click on Find All
  • At the bottom of the dialogue box Excel will show you the total number found
  • Find Next will scroll from one Sales to the next


 









REPLACE

Example: You need to replace the department name Sales to Sales and Services.

  • Select the data in the column (to make sure you don’t replace Sales anywhere else on the sheet)
  • Open the Replace dialogue box (Ctrl H)
  • Type Sales next to Find what
  • Type Sales and Services next to Replace With
  • Click on Replace All
  • Excel will show you a message with the number of replacements made.
