CUT, COPY AND PASTE DATA

 

After completing this lesson, you should know:

  • Different methods to cut, copy and paste
  • When and how to use Paste Value

Cut, copy and paste are skills that can save you valuable time in Excel.

  • Use CUT to relocate cell contents, formulas, charts and other data.
  • Use COPY to duplicate cell contents, formulas, charts and other data.
  • Use PASTE to complete the cut or copy actions by pasting the data in the destination cell(s). When you copy data, it will be in the clipboard (a temporary storage location) until you paste it.

DIFFERENT METHODS TO CUT, COPY AND PASTE

There are many different methods to cut, copy and paste.

Use the Ribbon

Home ribbon tab → Clipboard group

  • Click on the cell(s) → choose Copy in the Clipboard group
  • Click on the destination cell(s) → choose the top half of the Paste option in the Clipboard group






Use the Mouse

  • Right-click on the cell(s) → choose Cut or Copy
  • Right on the destination cell(s) → choose the first Paste option






Use the Keyboard

Cut → Ctrl X

Copy → Ctrl C

Paste → Ctrl V

  • Click on the cell(s) → press and hold the Ctrl key on the keyboard and then press X (for cut) or C (for copy)
  • Click on the destination cell(s) → press and hold the Ctrl key on the keyboard and then press V (for paste)

 

PASTE VALUE

When you copy the contents of a cell and then paste it somewhere else in Excel, you paste everything that formed part of the original data – formula, format, etc. If you only want to paste a specific part, e.g. the result of a formula (value) or the format of the data, use one of the Paste Special options available in Excel.

After data has been copied, a quick way to use one of the Paste Options, is to right-click on the destination cell and then click on the preferred option.

When you copy a cell with a formula, the Paste Value option will only paste the result of the formula and not the formula.

When you copy a cell with formatting (e.g. Bold), the Paste Value option will only paste the value or text and not the formatting.






Example:

The result of a formula appears in cell A1. The formula is visible in the formula bar. It is also Bold. You want to paste the value (34) in cell C1 without the formula and without the Bold.

  • Use any method to copy cell A1.
  • Right-click on cell C1 and choose the Paste Value option.
